Board of Trustees

The board consists of 5 members elected by members at the annual meeting and is defined in the Article IV of the By-Laws.  A trustee is elected to a term of two years.  A trustee may serve a maximum of four years in a row, then must wait one year before serving again.  Each year the board will determine which roles each trustee will fill.  Some of the responsibilities listed below may be handled by other Board members based on availability, willingness, and ability.   Minimally, these roles and responsibilities include, but are not limited to:

 Chair –

Responsibilities: 

  • Organize and run Board meetings;
  • Point of contact for any issue to be brought to the Board;
  • Building access point of contact;
  • Provide approval for any expense under $200;
  • Attend PSD small congregation meetings (~3 / year – optional);
  • Write an article for each newsletter;
  • Organize and run the annual meeting including ensuring that membership is notified in advance of the meeting according to parameters defined in the bylaws;
  • Provide support where needed for any committee;
  • Ensure volunteers for Board and committee head replacements are filled.

Skills needed:  Good organization, communication, and decision making.

Time commitment:  3 – 4 hours / month

 

Treasurer – To work closely with Bookkeeper on all things financial

Responsibilities: 

  • Supervise the safekeeping of all funds or property of the fellowship and the keeping of complete books and records of all financial transactions of the fellowship;
  • Assist in the development of an annual budget and communicate progress toward that budget.  Recommend and establish policies related to receiving, accounting and disbursing of monies;
  • Sign checks in accordance with church policies and procedures and verify the supporting data for each check request;
  • Make periodic reports to the Board of Trustees and annual reports to the membership at large;
  • Keep Board of Trustees informed of any trends or changes in fiscal matters;
  • Ensure the tax-exempt status as a 503© organization is maintained;
  • Instill and preserve a high financial confidence throughout the congregation;
  • Audit the financial records;
  • Train a replacement treasurer as needed.

Skills needed:  Ability to communicate and plan ahead for board meetings in order to obtain and report the financial status of the fellowship, integrity and discretion, and excellent organization skills.

Time commitment:  1 2 hours / month + 2 hours at end of year to prepare for Annual meeting.

  

Secretary

Responsibilities: 

  • Record meeting notes and distribute to the Board;
  • Triage incoming e-mail from LFUU account – distribute and discard accordingly;
  • Record Annual meeting notes and distribute to members.

Skills needed:  Proficiency at taking notes

Time commitment:  1 2 hours / month

 

Vice Chair –

Responsibilities: 

  • Take over Chair responsibilities should that person be unable to perform tasks for any reason;
  • Provide opinions on issues / items brought to the Board;
  • Contact committee heads prior to Board meetings for status reports (any needs, issues, wants, etc.) as well as assist in finding replacement for following year;
  • Volunteer to do or assist with any Board follow-up task

Skills needed:  Good communication, decision making.

Time commitment:  1 2 hours / month

 

At-Large –

Responsibilities: 

  • Provide opinions on issues / items brought to the Board;
  • Contact committee heads prior to Board meetings for status reports (any needs, issues, wants, etc.) as well as assist in finding replacement for following year;
  • Triage incoming postal mail – distribute and discard accordingly
  • Volunteer to do or assist with any Board follow-up task.

Skills needed:  Good communication, decision making.

Time commitment:   1 2 hours / month
